Handling Serial Numbers for products

The first step is to fully understand the use of lot and serial numbers. A lot number is used to track a number of products whereas a serial number is used to track each independent product. Lot numbers are useful for tracking batch production of food, clothes etc. Serial numbers are often used for the items that may require after-sales service or warranties such as smartphones, laptops, etc.

You can track both a single product and multiple products on semilimes by using lots. For tracking an individual product, you need to create and assign a lot number to each product. If you need to track a number of products together, you can create a lot number and assign that to those products. Therefore, there is no direct way to create serial numbers on semilimes, but you can use lot numbers to serve the purpose of serial numbers.

 

From the product settings, you can define which locations a lot is required for each product. For example: you may need a lot/serial number while selling products to customers but not when you’re receiving them product from your suppliers. To set this up, go to Product -> Products from the menu. This will show the list of current products. Click on a product you want to define for which a locations lot is required.

 

  1. From the ‘Products’ screen click on the ‘LOTS’ tab
  2. Click on the ‘+’ button. You will see the list of locations in a pop-up menu. From here, you can select the locations for each lot (as required).
  3. The selected locations will be displayed.
  4. Select ‘Shelf Life Time State’ for the product. It will enable you to set ‘Shelf Life Expiration Date’ while creating a lot. You can choose an option from the following:
    1. None – if selected then the field ‘Shelf Life Expiration Date’ will not be displayed during lot creation for the product.
    2. Optional – if selected then the field ‘Shelf Life Expiration Date’ will be displayed during lot creation for the product but it will be an optional field.
    3. Required – if selected then the field ‘Shelf Life Expiration Date’ will be displayed during lot creation for the product and it will be a required field.
  5. If the ‘Shelf Life Time State’ is selected as ‘Optional’ or ‘Required’ then the field ‘Shelf Life Time’ will appear.
  6. Select ‘Expiration Date’ for the product. It will enable you to set the ‘Expiration Date’ for the product while creating a lot. You can choose an option from the following:
    1. None – if selected then the field ‘Expiration Date’ will not be displayed during lot creation for the product.
    2. Optional – if selected then the field ‘Expiration Date’ will be displayed during lot creation for the product but it will be an optional field.
    3. Required – if selected then the field ‘Expiration Date’ will be displayed during lot creation for the product and it will be a required field.

 

Now let’s see how to create a serial number by using lots and assign that to the products. From the Inventory & Stock menu, click on ‘Lots’. It will then show the screen (highlighted below) where you can create a lot number which can be referred to as a serial number.

  1. Enter the lot number
  2. Select the product/product variant for which you want to allocate the lot.
  3. Select Shelf Life Expiration Date for the lot by using the date selector.
  4. Select Expiration Date for the product by using date selector.
  5. Click the save icon.

Please note that you can create same serial/lot numbers for the same product many times. On the other hand, you can allocate the same serial/lot number to multiple products.
